Assistant Manager General Affairs & Facility Management (all genders welcome)

at the Kia Europe Headquarters in Frankfurt/Main, Germany

 

Job mission:


To ensure the seamless and efficient operation of our workplace environment and optimizing facility resources, managing administrative functions, and fostering a safe, productive, and employee-friendly atmosphere. Through strategic planning and effective collaboration, to enhance organizational efficiency, employee satisfaction, and contribute to the overall success of our company.

 

Your Responsibilities:

  • Supporting the annual budget planning and ongoing monitoring (OPEX - running costs, projects)

  • Coordination of projects including budget management, obtaining offers and monitor progress, e.g. organization renovations, office removals and cost estimation / control and procurement

  • Ordering and billing of services

  • Monitor, plan and manage documentation of the building and technical maintenance procedures

  • Coordination of external and internal technical audits and inspections of the building and its’ technical facilities

  • Responsible for work safety (organize yearly work safety training and first aid helper, contact person to external work safety consultant, external office doctor)

  • Taking care of the buildings management and access control system

  • Prepare monthly reports to monitor our goals and identify necessary actions

  • Together with the team: be responsible for the area of "General Affairs" (e. g. management of company cars, administration of company mobile devices, printers, coffee machines, office supplies, insurances and travel management) 

 

Your Profile:

  • Minimum of 2-3 years relevant work experience in facility management or related business fields

  • University degree in engineering or business studies with a focus in facility management or equivalent

  • Team player with excellent communication, project management and coordination skills who likes to work in an international environment

  • Profound knowledge of the building life cycle and experience in interacting with service providers, public authorities and contractual partners

  • Basic knowledge of contract law (e.g. tenancy law, service contracts)

  • Familiarity with the regular used IT tools 

  • Ability to communicate fluently in both German & English
