Specialist Press Car Operations (All genders welcome) at the Kia Europe Headquarters in Frankfurt/Main, Germany.


Job Mission:


The Press Fleet Operations Specialist executes and coordinates the operational processes required to make Kia Europe’s vehicles available, compliant and ready for the Marketing Department’s use, including but not limited to press activities. The role manages day-to-day Car Booking workflows, vehicle allocation, logistics, registration, documentation, readiness and status reporting within established policies, budgets and approval frameworks.

The specialist provides accurate analysis and practical recommendations to support short-term decisions, works autonomously on assigned activities, and coordinates between internal teams, markets, factories, technical partners and external suppliers to ensure timely, cost-effective and high-quality delivery.

Works together with multiple European Marketing teams, including HMETC, MOBIS, Kia Slovakia (Zilina) and approved external service partners.



Competencies:

  • Fact Finding and Analysis: Maintains reliable fleet data, investigates operational issues and prepares structured status and cost analysis.

  • Proposing Solutions: Recommends practical responses to allocation, readiness, logistics, supplier and process issues.

  • Designing and Planning: Plans short-term vehicle availability, preparation and movements.

  • Implementing and Doing: Executes bookings, logistics, registration, documentation, readiness and reporting workflows.

  • Reviewing and Optimizing: Reviews performance, records lessons learned and improves recurring processes and documentation.


Experience/skills:


  • Experience in fleet operations and/or logistics planning, or a comparable role.

  • Strong organizational skills and the ability to manage multiple requests accurately.

  • Confident use of Microsoft Office tools; advanced spreadsheet capability is an advantage.

  • Working knowledge of vehicle logistics, registration, documentation, loan administration and supplier coordination a plus.

  • Strong written and verbal communication skills in English; additional European languages are an advantage.

  • Strong fact-based analysis, attention to detail and solution-oriented thinking.

  • A proactive, service-oriented and collaborative mindset, with the ability to work autonomously while remaining aligned with team objectives and stakeholder expectations.

  • Strong interpersonal and diplomatic skills.  

  • Eagerness to learn and contribute across teams in a fast-paced multicultural environment.  

Main responsibilities/ Tasks:


The following are main tasks and main responsibilities but not limited to.

  • Administer the CarBooking platform: process vehicle requests accurately and on time, and coordinate vehicle allocation across users and stakeholders.

  • Maintain accurate, up-to-date records covering vehicle orders, production, shipping, delivery, registration, location, utilization and availability.

  • Prepare regular reports on the press fleet, car-park inventory, pilot vehicles, disposals, scrapping and overall vehicle status.

  • Coordinate vehicle transportation, delivery, movement and collection with approved logistics providers and relevant stakeholders.

  • Support vehicle registration and technical approval processes, including Single Type Approval, TÜV coordination and required submissions.

  • Maintain complete vehicle documentation, including registration records, technical information, loan agreements, modifications and repair history.

  • Monitor operational milestones and follow up on customs, delivery, registration and documentation issues, escalating delays or risks where required.

  • Coordinate the preparation and readiness of press vehicles delivered by Kia headquarters, Kia Slovakia or other approved sources.

  • Confirm that vehicles meet agreed operational, technical and presentation standards before release for press, event, campaign or internal use.

  • Coordinate day-to-day activities with Kia markets, HMETC, MOBIS, Kia Slovakia, Fleet, registration partners, logistics providers and other approved suppliers.

  • Prepare supplier briefs, obtain and compare quotations, and recommend cost-effective options within established procurement and approval processes.

  • Monitor supplier performance against agreed scope, timing, quality and cost, and escalating performance issues to the manager responsible.

  • Track approved costs, provide structured cost analysis, and flag forecast variances, cost risks or missing approvals to the relevant budget owner.

  • Compile product and media feedback following launches and other key activities, preparing summaries or flash reports when required.

  • Record reported technical issues, modifications, repairs and complaints affecting fleet vehicles, and coordinate the necessary follow-up actions.

  • Maintain accurate records in accordance with company policies, GDPR requirements, loan conditions and applicable registration procedures.

  • Follow established approval, procurement, finance, safety and record-retention requirements.

  • Review recurring workflows, identify opportunities for improvement, and document standard operating procedures and best practices.
