at the Kia Europe Headquarters in Frankfurt/Main, Germany


Job mission:

To oversee the smooth and effective functioning of our workplace environment while optimizing facility resources.

 

Your Responsibilities:

 

1) COMPANY CARS

  • Be the responsible person for the management of the complete company car, leasing car and family car pool of Kia Europe employees. Manage the process from ordering, assigning to employees, coordinating usage and return.

Ordering and managing

  • Manage enquiries for company and pool cars as well as private lease cars from employees:

  • Responsible for car ordering (requesting price quotes, communicate this to employees and, placing orders to KDE upon confirmation from the employees)

  • Ordering fuel (Shell) cards, controlling fuel reports.

  • Managing of the traffic violation tickets.

  • Assigning car park places.

  • Arranging appointments at workshop/dealership (Pick-up/returns, damages/cost estimation, recall actions incl. updates, insurance issues, pool cars, tyre change where necessary, maintenance and optional accessories costs

Checks and information management

  • Generating monthly payroll data for the whole car fleet.

  • Inform leasing company about employees´ parental leave and other changes in employee status.

  • Confirmations of CC usage/green card, others

  • Driving license check (twice a year)

 2) VIP VISIT MANAGEMENT

  • Scheduling - align with our global head office the schedule for the VIP visit: Airport protocols, local transfers, restaurant and hotel bookings.

  • Preparation - schedule, inform and coordinate all the staff needed during the visit to support the VIP with special focus on driver and optimal routes and venue checks.

  • Management - pre-checking of venues during the visit, constant monitoring of progress and communication with visitors and Kia EU support staff.

 3) MOBILE PHONES

  • General administration of company mobile phones (controlling invoices, checking and store call detail records, order new devices, order new SIM-card, others)

4) ADMINISTRATION

  • Purchasing of parts, goods and materials regarding general affairs (e.g. stationary, beverages, coffee machines) arranging appointments for the pick up or file destruction containers, managing printers (ordering consumables + service appointments)

  • Check and sort out of invoices regarding GA related orders and materials, assigning payment approvals using of Finance booking system (SAP)


Your Profile:

  • Bachelor degree with business management elements or international baccalaureate

  • At least 2-3 years experience in a customer facing role

  • Experience in organizing and coordinating small events and trips

  • Proven customer driven openness and flexibility

  • Team player with excellent communication skills, solution-oriented and able to consolidate varied customer requests into structured plans with strong prioritization skills according to urgency and importance of requests.

  • Proven capability with Microsoft Office (especially Excel, Word and PowerPoint)

  • Basic knowledge of administration software such as SAP

  • Ability to communicate fluently in both German & English
